About This Role
AdHoc is seeking a Creative Operations Manager to lead and evolve the company’s internal operations across business management, finance, HR, and technology systems. This role sits at the center of the organization-- partnering closely with leadership, creative, production, and partnership teams to ensure the business operates efficiently, sustainably, and strategically as we grow.
This role requires a highly organized and proactive operator who can move fluidly between strategic planning and hands-on execution. The ideal candidate is someone who enjoys building systems, improving workflows, creating accountability, and helping creative teams do their best work within a strong operational foundation.
The Creative Operations Manager will oversee company operations, people operations, financial management, internal systems, and operational infrastructure while helping shape the next phase of growth for the agency.
Role + Responsibilities
Company Operations
- Own and lead day-to-day company operations across all departments
- Build and refine scalable operational systems, workflows, SOPs, and internal processes
- Partner with leadership on company planning, organizational structure, and operational strategy
- Improve cross-functional communication, accountability, and project visibility across the organization
- Oversee operational planning for staffing, resourcing, and company capacity
- Develop systems that support both operational rigor and creative flexibility
- Identify operational bottlenecks and proactively implement solutions
- Manage relationships with external vendors, consultants, legal, insurance, and operational partners
Creative Resourcing & HR
- Lead hiring operations, onboarding, and employee lifecycle management
- Maintain and evolve HR policies, employee handbook, compliance processes, and internal documentation
- Support managers with performance management, employee development, feedback systems, and team structure planning
- Oversee payroll coordination, benefits administration, PTO tracking, and employee records
- Foster a healthy, collaborative, and accountable company culture
- Help create systems that support sustainable team growth and long-term employee success
- Ensure compliance with employment regulations and operational best practices
Technology & Systems Management
- Own and maintain AdHoc’s internal technology stack and operational systems
- Evaluate, implement, and optimize platforms that support operations, finance, HR, project management, and collaboration
- Manage software licensing, system permissions, onboarding/offboarding access, and operational security protocols
- Partner with teams to ensure tools and workflows are being used effectively and consistently
- Oversee relationships with IT vendors, technical consultants, and external systems partners
- Build scalable systems for internal knowledge management, file organization, reporting, and process documentation
- Identify opportunities for automation and operational efficiency through technology
- Maintain operational continuity across internal platforms and systems infrastructure
Finance & Business Management
- Own operational budgeting, forecasting, and financial tracking processes
- Client reconciliation and bookkeeping
- Manage accounting teams on reporting, reconciliations, payroll, and tax coordination
- Monitor company profitability, project margins, utilization, and cash flow
- Build reporting systems and dashboards that provide visibility into business performance
- Support leadership with financial planning and operational decision-making
- Oversee invoicing workflows, payment operations, contractor management, and expense tracking
- Ensure operational decisions align with company revenue and profitability goals
What You Bring
- 4-8 years of experience in operations, business management, finance, HR, or agency operations leadership
- Experience working within a creative agency, experiential agency, production company, startup, or similar fast-paced environment
- Understanding of agency resourcing, utilization, and project financials
- Strong operational mindset with the ability to build systems and processes from the ground up
- Strong financial acumen and experience with forecasting, budgeting, and operational reporting
- Deep organizational and project management skills with exceptional attention to detail
- Ability to balance strategic leadership with hands-on execution
- A national rolodex of producers, experiential designers, and other creatives available for projects based on their skill set, rate, and location
- Strong communication and leadership skills with the ability to collaborate across departments and seniority levels
- Familiarity with tools such as Asana, Gusto, QuickBooks, Ramp, DocuSign, Slack, Zoom, Google Workspace, and similar platforms
- Comfortable navigating ambiguity, rapid growth, and evolving priorities

Compensation
- Salary Range: $90,000–$110,000 based on experience
